Every villa, every month. Billed once, proved always.

A small facilities firm does not sell jobs — it sells months. AMC contracts across a portfolio of villas and communities mean the same invoice, every month, for every property, plus PPM visits that must actually happen and callouts that must stay inside the contract's lines. Miss one invoice or lose one visit record and the renewal argument starts. InstaJack runs the monthly billing round and the visit history from one phone.

How does a small FM firm win and price AMC work?

Owners' associations and landlords buy certainty: a fixed annual maintenance contract per villa, building or community, covering planned visits and a defined set of callouts. Your quote has to separate what the contract covers from what it does not — because every argument for the next year starts at that line.

In InstaJack the contract is priced from your own price book: your AMC lines per property type, your callout rates, your exclusions written in your words. The proposal goes out on WhatsApp and is approved on the link, scope and all — the document both sides point at when a callout is disputed in month nine. Smaller reactive trades keep their own guides, like Handyman & Maintenance; this page is for the firm holding the whole portfolio.

  • AMC lines per property type, priced from your own rates
  • Callout rates and exclusions written on the approved quote
  • One customer record per community, building or villa owner
  • Renewal quotes rebuilt from the same lines in minutes

How do monthly AMC billing and PPM cycles run?

The billing round is the business: the same contract invoice, raised monthly or quarterly per property, across the whole portfolio, without fail. Underneath it, PPM — planned preventive maintenance — runs on cycles: AC servicing, pump checks, filter changes, each visit due on its own rhythm per address.

InstaJack's bookings diary carries the PPM cycle as booked visits per address, and Core invoicing — free forever — raises each period's invoice from the approved contract lines, with your bank details on it. With the Service Pack (AED 79 per firm per month), every address keeps its service history: visits, callouts and work done, in order — the record that proves the contract was served when renewal or dispute day comes.

Where does FM paperwork leak money?

Three leaks repeat. First: the callout that was inside the contract gets billed anyway — or the chargeable one gets done free, because nobody could find the scope at 9pm. Second: the visit that happened but cannot be proved, so the client disputes the month. Third: subcontractor invoices arriving for work your own team already covered.

The answer is a thread per address, not per argument: the approved contract scope sits on the customer record; every visit is a booking and every callout a job against that address; chargeable extras are quoted and approved on the client's phone before the work, so 'was that included?' has a written answer. The Service Pack history shows what was done, where and when — proof of service, not a promise of it.

  • Contract scope on the record, checkable before any callout
  • Every PPM visit booked per address in the diary
  • Chargeable callouts quoted and approved before work
  • Service history per address with the Service Pack

Getting started honestly: your contract rates, your book

Straight answer: facilities management has no built-in starter price book in InstaJack. AMC pricing depends on the portfolio — villa age, unit count, scope, response times — and a default rate would misprice the contract you live on for a year.

So the book is built the way every InstaJack firm builds it: from your own rates. Add your AMC lines per property type and your callout rates once, and the monthly round, the renewals and the extra-work quotes all run from the same book. Start on Core, free forever; add the Service Pack when proving visits across the portfolio becomes the renewal argument.

Questions

Asked often, answered straight.

Does InstaJack come with AMC prices built in?+

No. Facilities management has no starter price book, because AMC pricing depends on the portfolio, scope and response times. You add your own contract lines and callout rates once, and billing, renewals and extras all run from them.

How are monthly AMC invoices raised?+

From the approved contract lines on each customer record. Core invoicing is free forever: raise the period invoice per property with your bank details already on it, and send it without retyping the contract each month.

How do we prove a PPM visit actually happened?+

Book every PPM visit per address in the diary, and run the work as a job against that address. With the Service Pack, each address keeps its full service history — visits and callouts in order — as the renewal record.

What does InstaJack cost a small FM company?+

Core is free forever: quotes, your own price book, WhatsApp approvals, invoices with bank details and the bookings diary. The Service Pack is AED 79 per firm per month. Crew is AED 49 and Claim is AED 79, if needed.
