Offices and cafés, handed over. Stages paid, not chased.

A small fit-out firm wins an office or a café, then lives between two calendars: the landlord's approval process and the client's payment stages. Money arrives tied to completion stages and leaves through materials, night work and subcontractors — while retention waits for a snagging list to die. InstaJack keeps the quote, the stage claims and the variations in one thread, so each stage is approved, claimed and paid in order.

How is turnkey fit-out work won and quoted?

The client buys a finished space for one price: shell-and-core to handover — partitions, ceilings, MEP tie-ins, joinery, finishes. Your quote has to read like the finished room, broken into stages the client can follow, priced from a BOQ you built line by line. A single lump figure invites a cheaper rival; a clear staged breakdown sells the competence.

In InstaJack you build that breakdown from your own price book: your lines, your units, your rates — per square metre of partition, per door set, per fit-out stage as a lump sum. The quote goes out on WhatsApp and is approved on the link, stage structure and all. This is the commercial contractor's page; the workshop joinery trade itself lives at Carpentry & Fit-Out.

  • Staged quote breakdown the client can follow, stage by stage
  • Your BOQ lines saved in your book, reused on the next tender
  • Approval on the WhatsApp link before mobilisation
  • A buying list per job for materials and long-lead items

How do phased payments and retentions run?

Fit-out money moves in steps: an advance, progress payments against completed stages, a handover payment — and retention, held back until snags are cleared and often long after the keys are handed over. Every stage is a small negotiation about what 'complete' means, fought over photos and walk-rounds.

With the Claim Pack (AED 79 per firm per month), stage claims are built from the approved quote's own lines: claim the stage or the percentage complete, with variations already approved sitting in the same stack. The record shows claimed, approved and retention still held, job by job — so the retention release battle starts from a clean paper trail instead of a memory of site meetings.

What paperwork does a fit-out really drown in?

Before a partition goes up: mall or landlord approvals, NOCs, authority sign-offs — in Dubai, bodies like DDA or TECOM on some projects — plus method statements and night-work permits, because malls let you build when shoppers go home. During the job: variations every time the client's designer changes a finish. At the end: the snagging list, item by item, standing between you and the final payment.

InstaJack answers the money side of that pile: the bookings diary holds approval milestones, night-work programmes and handover dates; variations are priced and approved on the client's phone before the finish changes, not after it is fitted; and quotes, stage claims and invoices with your bank details all generate from the same approved lines. The snag list still gets walked — but it gets walked against a claim record everyone already agreed.

  • Approval milestones and night-work dates in one diary
  • Variations approved before the work, with the price on record
  • Stage claims built from approved lines only (Claim Pack)
  • Handover paperwork generated, never retyped

Getting started honestly: build your own fit-out book

Straight answer: there is no built-in starter price book for turnkey fit-out in InstaJack. Fit-out pricing depends on the building, the landlord's spec and the finish level — café money is not office money, and invented defaults would price your tenders wrong.

The honest mechanic is the same one every firm on InstaJack uses: the book is yours. Load your standard BOQ lines once — partitions, ceilings, joinery packages, stage lump sums, in your words at your rates — and every tender after is assembly, not authorship. Start on Core, free forever, and add the Claim Pack when stage claims and retention tracking become the heavy work.

Questions

Asked often, answered straight.

Does InstaJack include ready-made fit-out prices?+

No. Turnkey fit-out has no built-in starter book, because pricing depends on the building, the landlord specification and the finish level. You build your book from your own BOQ lines and rates, saved for every tender after.

How do stage payments work in InstaJack?+

Quote the job in stages from your own lines. With the Claim Pack, claim each stage or percentage complete from those approved lines, and keep claimed, approved and retention amounts recorded per job until release.

Can clients approve variations before the finish changes?+

Yes. Price the variation, send it on WhatsApp, and the client approves it on the link before your crew changes anything on site. The approved price stays on the job record, ready for the next stage claim.

What does InstaJack cost a fit-out firm?+

Core is free forever: quotes, your own price book, WhatsApp approvals, invoices with bank details and the bookings diary. The Claim Pack is AED 79 per firm per month. Crew costs AED 49 and Pay AED 59, only if needed.
