Getting ready for UAE e-invoicing: steps for a small firm
Most of getting ready is not technology. It is knowing your date, having clean invoice data, and choosing your accredited provider in time to run the new route before it becomes the only route. Here is the order to do it in.
Which date applies to your firm?
Start from revenue. Firms with annual revenue of AED 50 million or more appoint a provider by 30 October 2026 and start on 1 January 2027. Firms below AED 50 million appoint by 31 March 2027 and start on 1 July 2027. Remember that scope is about doing business — B2B and B2G activity — not about VAT registration, so a firm that is not VAT-registered should not assume it has no date. The full table is on the mandate and deadlines page.
What should you fix in your invoice data first?
Structured data is unforgiving of gaps a PDF would hide. Before you talk to any provider, get four things straight on every invoice your firm issues: a sequential invoice number with no gaps or repeats, your firm's TRN recorded correctly, the 5% VAT split shown properly, and line-by-line detail for the work — what was done, in what quantity, at what price. Customer details matter just as much: the legal name and details of every business customer, kept current, because your provider routes invoices by who the buyer is.
- Sequential invoice numbers — one unbroken sequence, no duplicates
- Your firm's TRN, correct on every invoice
- The 5% VAT split shown on every invoice where VAT applies
- Line-by-line detail: work, quantity and price on each line
- Current legal details for every business customer
What are the steps, in order?
Work through these in order. None of them needs new hardware, and the first two need nothing but an hour with your own records.
- 1. Check your phase: find your appointment deadline and mandatory date from your revenue.
- 2. Get your data straight: TRN, customer details, sequential numbering and the VAT split on every invoice.
- 3. Choose an accredited service provider — one accredited by the Ministry of Finance — and appoint it before your appointment deadline.
- 4. Connect your invoicing to that provider, so your invoices reach it ready to be validated and converted to PINT AE.
- 5. Run both routes side by side before your mandatory date, so mistakes surface while the old way still works.
- 6. From your mandatory date, issue your B2B and B2G invoices through the connected route as the normal way of working.
Where does InstaJack fit in getting ready?
Plainly: InstaJack is not an accredited service provider, and InstaJack does not exchange e-invoices today — every firm, InstaJack users included, appoints its own accredited provider. What InstaJack already does is keep the data straight at step 2: every invoice it creates carries a sequential invoice number, your firm's TRN, the 5% VAT split and line-by-line detail, from your phone. That is the data your provider will validate and convert when you connect. The longer walkthrough is our guide to UAE e-invoicing for small firms.

Read →If you invoice from Excel, Word or a till today
Most small firms reading this cluster invoice from a spreadsheet template, a Word document, or a point-of-sale till — and the honest readiness question is what of that survives. The data survives: your customer list, your item names and prices, your invoice history are the substance the new system needs, and they can be carried over. The artefacts do not: a Word invoice cannot become a structured invoice by saving it differently, and a till that cannot produce the standard data will need its invoicing replaced or connected, however good it is at taking payments.
So readiness, for the Excel-and-Word firm, is three moves in order: gather the master data (customers with their tax numbers, items with their tax treatment) into one place; adopt numbering that never repeats or gaps; and start issuing from a system that stores invoices as data — which is exactly the step InstaJack exists to make painless for trades firms, with the e-invoicing connection to follow when the adapter work ships. The firms that will struggle at the mandate are not the ones on Excel today; they are the ones still on Excel the month it lands.
Asked often, answered straight.
What details must every invoice carry for e-invoicing?+
Get four things right on every invoice: a sequential invoice number with no gaps, your firm's TRN, the 5% VAT split, and line-by-line detail of the work. Add current legal details for every business customer, because providers route invoices by buyer.
How early should a small firm start getting ready?+
Before your provider-appointment deadline, not your mandatory date. Appointment comes first in every phase — 31 March 2027 for firms below AED 50 million — and connecting and running in parallel take time after that. Starting at the appointment deadline is starting late.
My customers are mostly individuals — do I still need this?+
Business-to-consumer sales are outside the first phase. But if any of your invoicing is business-to-business or to government entities, that part is in scope, and scope is not decided by VAT registration. Check the mix of your invoices against your phase.
What happens if I do nothing?+
Administrative penalties for non-compliance exist under Cabinet Decision, and from your mandatory date the old way of invoicing no longer meets the mandate's requirements for B2B and B2G work. The steps above are deliberately small — date, data, provider, connection, parallel run.
Can InstaJack connect my firm to the e-invoicing system today?+
No. InstaJack is not an accredited service provider, and InstaJack does not exchange e-invoices today. InstaJack keeps your invoice data ready — sequential numbers, TRN, VAT split, line detail — and your firm connects that invoicing to its own accredited provider.
